Firm Overview: Boutique Law Firm founded by Vincent M. Casiano – focuses on Probate and Trust Administrations and the Litigation surrounding Estates and Trusts coupled with an Estate Planning Practice. Our firm represented seniors and their families with the legal issues that arise as one grows older and the passing of wealth from one generation to the next.

Key Responsibilities:

Calendar and administrative management

o Manage complex attorney calendars, including scheduling hearings, meetings, and court appearances.

o Ensure that all of Attorney’s time is captured and entered into Clio Manage (a leading cloud-based legal practice management software designed to help law firms streamline operations, improve client communication, and stay organized).

Generate and send monthly invoices to all clients and follow up on financial arrangements

Case file and document organization

o Open, maintain, and organize client case files and ensure files are properly organized and documents are up to date.

o Review court website and update client files accordingly.

o Review and process mail which is scanned and sent to firm via email. (Review, summarize, create task lists, calendar, and file in appropriate client matter.

Firm support

o Assist in drafting court pleadings, including, petitions, responses, subpoenas, discovery, notices and other legal paperwork with relevant agencies.

o Become proficient at using software designed to draft judicial council forms.

o Assist in reviewing and proofreading legal documents to ensure accuracy and compliance.

Communication

o Serve as a point of contact between attorneys and clients in both Spanish and English.

o Translate legal documents, emails, letters, meeting summaries, and other correspondence accurately and efficiently.

Research and follow-up

o Conduct basic legal research, gather statutes, case precedents, or regulations as requested.

o Track deadlines, pending actions, and follow up on required filings or tasks.

Requirements

  • Advanced proficiency in English, written and spoken.
  • Minimum of 2 years of experience as an executive assistant, legal assistant, or in a similar support role in a law firm.
  • Excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
  • Familiarity with document management systems and legal calendaring processes.
  • Ability to work independently, exercise good judgment, and handle confidential information with discretion.

Preferred Skills

  • Experience preparing and filing court documents and interacting with court systems.
  • Knowledge of legal research tools (e.g., Westlaw, LexisNexis) and case management software.
  • Strong interpersonal skills, adaptability, and the ability to prioritize in a fast-paced environment.

Compensation & Benefits

  • Competitive salary (local benchmark: PHP 45,000–PHP 60,000 per month, depending on experience and responsibilities).
