We're seeking a Senior Administrative Assistant who will provide advanced clerical and administrative support to leaders within the assigned area(s). In this role, you'll be a trusted partner, ensuring operations run smoothly, projects are well-coordinated, and leaders are supported in achieving organizational priorities.

In this role you will support the Pacific Area VP. Applicants must be in available to work 8-5 PST, M-F.

The hiring range will vary depending on geographic location, current job grade and years of experience.

As a Senior Administrative Assistant, you will:
  • Manage calendars, coordinate travel, reconcile expenses, and support leaders with complex scheduling needs.
  • Prepare reports, statistical spreadsheets, and assist with special projects requiring advanced administrative support.
  • Coordinate logistics for meetings and events, including setup, audiovisual needs, and expense tracking.
  • Partner with other administrative staff to ensure deliverables are met, while providing back-up support as needed.
  • Draft routine, non-routine, and highly confidential communications with accuracy and discretion.
  • Maintain organized filing systems (electronic and hard copy), handle mail distribution, and oversee supply management.
  • Greet and assist visitors with professionalism, ensuring a positive experience.
  • Provide flexible support for evolving business priorities.


Requirements

Knowledge/Education
1. High school graduate or GED required.
2. Associate's degree preferred.
3. Thorough working knowledge of standard office procedures and equipment required.
Licenses/ Certifications
1. Notary Public preferred.
Experience

1. Five years related experience required. (Previous Admin Assistant, receptionist, office manager)
Skills/Abilities Required:
1. Proficient with Microsoft Office (Word, Power Point, Excel, Outlook, Teams)
2. Must be highly organized and detail oriented; accurate and timely.
3. Must have excellent customer service and interpersonal skills.
4. Strong written and oral communication skills.
5. Proficient in office filing system.
